These terms bring together what the club's constitution and policies say about using this website, trying the club and being a member. If anything here differs from the club constitution, the constitution applies. You'll find it, with the club's other policies, on the Club Docs page.

Who we are

Guildford Baseball & Softball Club runs the Guildford Mavericks, the Guildford Millers and a junior programme at Kings College, Guildford. It's an amateur sports club, run by volunteers and managed by an Executive Committee elected by the members. The club is a member of the British Baseball Federation and Baseball Softball UK, and its teams play in BBF leagues. To get in touch, email the club.

Using this website

• The club tries to keep this site accurate, but fixtures, times and fees can change. Check with the club before making a special journey.
• Scores on the schedule page come from the British Baseball Federation's published results.
• We publish team and event photos, and players' names on the roster. If you'd like a photo of you or your child taken down, email the club and we'll remove it.
• Please ask the club before reusing words or photos from this site.
• Other websites the site links to or mentions, such as the British Baseball Federation, Sport80 or the club's social media, aren't run by the club, and it isn't responsible for what they contain.
• How we use your personal information is explained in our privacy notice.

Our chat assistant

• The chat assistant writes its replies with AI, working from the club's own information. It can get things wrong, so please check anything important with the club.
• It can take your details and pass them to the club. It can't confirm a place, a booking or a membership. Only the club can do that, when it gets in touch with you.

Trying the club

• Your first adult training session is free, and a child's first two junior sessions are free. You don't pay anything to try, and the club lends the equipment you need for training.
• Junior baseball is for ages 8 to 14, and Teeball for ages 4 to 7.
• Parents are welcome to stay and watch junior sessions at all times.

Membership

• Membership is open to anyone interested in the sport, regardless of sex, age, disability, nationality, religion or other beliefs, except where the requirements of the sport itself make a difference.
• When you join, you agree to follow the club constitution and the decisions of the Executive Committee.
• The committee can refuse or end a membership only for good cause, such as conduct likely to bring the club or the sport into disrepute. You can appeal to the members.
• Members under 16 are junior members. They don't vote at club meetings; their parents or guardians can vote on their behalf.

Fees

• The Executive Committee sets the fees. The current fees are on the Join and Juniors pages.
• Under the constitution, annual membership fees fall due on 1 March each year.
• Adult club kit (jersey and cap) is bought separately. The junior baseball fee (ages 8 to 14) includes a club cap and T-shirt.
• Each child in the junior programme also needs a BBF Sport80 account (£12.50), which covers insurance and lets them play in BBF competitions and events.
• There's a £25 discount for each additional sibling: a second child's junior baseball fee is £75, a third's £50, and so on. The discount doesn't apply to Teeball.
• Everything the club raises goes back into the club. No surplus is paid out to members or anyone else.
• The constitution doesn't cover refunds. If you have a question about one, email the club and the Executive Committee will decide.

How we play

The club has a Code of Conduct for players, and a set of values it calls RITES: Responsibility, Inclusive, Tolerant, Enjoyment and Sportsmanship. The Code of Conduct asks players to:

• never argue with an umpire or protest an umpire's call, and always thank the umpires;
• never throw equipment, and always show respect for teammates, coaches, opponents, parents and spectators;
• not use bad language, and not insult anyone because of colour, sex, race, religion or anything that makes them different;
• play fairly and honestly, be modest in victory and dignified in defeat, and shake hands with the opposition after the game.

The club's equality policy commits it to treat everyone equally within the context of the sport, regardless of age, ability, gender, ethnicity, religious belief or social or economic status, and to deal with any discriminatory behaviour seriously, according to its disciplinary procedures.

Discipline and appeals

• The Executive Committee can take disciplinary action against a member, up to ending their membership, for conduct that harms the club.
• You can appeal within 28 days of the disciplinary action. The appeal is heard by a disciplinary committee made up mostly of people who aren't on the Executive Committee, normally within 14 days of the Secretary receiving it.
• For more detailed disciplinary procedures, the constitution refers to the BaseballSoftballUK Welfare Policy.

Looking after children

• The club's Child Protection Policy says the child's welfare is paramount, and that all suspicions and allegations of abuse will be taken seriously and responded to swiftly and appropriately.
• Its guidance tells coaches to avoid situations where a coach and a child are completely unobserved, and not to take a child alone on a car journey, however short.

Injuries and safety

• Like any sport, baseball carries a risk of injury. Please follow your coaches' instructions and use the protective equipment provided, such as batting helmets.
• If someone is hurt, the club's emergency and injury procedure is for a first aider to attend and give first aid, and to call an ambulance or the casualty's emergency contact if necessary.

Hiring the diamond

The diamond at Kings College is available to other baseball teams, sporting events and community groups when the club isn't using it. Get in touch with the club for availability and pricing. Enquire about hire.

Changes

The committee may update these terms, and the date at the top shows when they last changed. Changes to the constitution itself can only be agreed at the club's Annual General Meeting.

Law

These terms are governed by the law of England and Wales.
